1. Introduction & Who We Are
Welcome to Chester Window Company ("we", "our", or "us"). We operate the website chesterwindows.co.uk (the "Site").
We are a provider of home improvement services in the Chester area. Our business operates in two ways:
- Direct Installation: We have our own internal teams for the supply and installation of certain products, such as composite doors.
- Partner Network: For other services, such as window installations, we act as an intermediary, connecting customers with a network of trusted local installation companies ("Our Partners").
This Privacy Policy explains how we collect, use, share, and protect your personal data depending on the service you request through our Site. For the purpose of the UK General Data Protection Regulation (UK GDPR), the data controller is Chester Window Company.
2. How We Handle Your Quote Request
This is the most important section for you to understand, as how we handle your data depends on the service you need.
- If your inquiry is about COMPOSITE DOORS (or other
services we handle internally):
We will use the personal data you provide to contact you directly, prepare your quote, and, if you proceed, manage the entire installation process using our own teams. In this case, we do not share your personal data with external installation companies.
- If your inquiry is about WINDOWS (or other services
handled by our network):
To provide you with a competitive quote, we will share the information you provide with one or more of Our Partners. They will then contact you directly to discuss your project and provide a quote. We may receive a fee from Our Partners for this introduction.
- If your inquiry includes a mix of services:
We will handle the different parts of your request accordingly. For example, if you request a quote for both windows and a composite door, we will use your data to quote for the door ourselves, and we will share your data with a Partner to provide a quote for the windows.
3. What Personal Data We Collect
We may collect and process the following categories of personal data:
- Identity & Contact Data: This includes your full name, email address, phone number, and postal address.
- Service Requirement Data: This includes details you provide about your project, such as the type of windows or doors you are interested in, property details, and any other notes you provide in the contact form.
- Technical Data: This includes your Internet Protocol (IP) address, browser type and version, time zone setting and location, etc.
- Usage Data: This includes information about how you use our Site, such as which pages you visit and your navigation paths.
4. Our Legal Basis for Processing Your Data
Under UK GDPR, we must have a valid legal basis to process your personal data. Our basis changes depending on the action:
- Providing you with a quote (All Services): The legal basis is "taking steps at your request prior to entering into a contract". This applies whether we or one of Our Partners provides the quote.
- Sharing your data with Partners (for Window installations, etc.): This is also covered under "taking steps at your request prior to entering into a contract" with one of Our Partners.
- Fulfilling an order with our own team (for Composite Door installations, etc.): If you accept our quote, the legal basis for processing your data to carry out the work, schedule installation, and handle payment becomes "performance of a contract" between you and us.
- For website analytics and improvement: Our legal basis is "Legitimate Interests" to ensure our Site is effective. You can object to this processing.
- To use non-essential cookies: Our legal basis is your "Consent", given via our cookie banner.
5. How We Share Your Information
Your data is only shared when necessary to fulfil your request for specific services.
- Local Window & Door Installers (Our Partners): We share your Identity, Contact, and Service Requirement Data with Our Partners only when you request a quote for a service they provide (e.g., windows). We do not share your data with them if your request is for a service we handle internally.
- Internal Teams: For services we provide directly (e.g., composite doors), your data is used by our sales and installation teams.
- Analytics Providers & IT Services: We share data with essential service providers like Google (for analytics) and our IT/hosting providers to maintain our website and business operations.
- Legal or Regulatory Bodies: We may be required to share your data to comply with a legal obligation.
6. Cookies and Google Analytics
Our website uses cookies to distinguish you from other users, provide a good experience, and help us improve our site.
- Necessary Cookies: These are essential for the basic operation of our Site.
- Analytics Cookies: We use Google Analytics to collect information about how visitors use our site. This helps us understand visitor numbers, the pages they visit, and how we can improve the user journey.
Google Analytics: The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers that may be located outside the UK. We rely on appropriate safeguards, such as the UK's adequacy regulations regarding the EU-U.S. Data Privacy Framework, for this transfer. You can opt-out of Google Analytics by rejecting analytics cookies in our cookie consent banner or by using the Google Analytics Opt-out Browser Add-on.
7. Data Security
We have implemented appropriate technical and organisational security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed in an unauthorised way. We limit access to your personal data to those employees and third parties (Our Partners) who have a business need to know.
8. Data Retention
We will only retain your personal data for as long as is reasonably necessary.
- For quote requests that do not result in a contract (whether handled by us or a Partner), we will typically retain your data for 12 months to handle follow-up queries.
- For completed installations carried out by our own teams, we will retain your data for longer to fulfil our legal and contractual obligations, such as for warranty periods and accounting purposes. This may be for a period of up to 10 years following completion of the work.
9. Your Data Protection Rights under UK GDPR
You have rights under data protection laws in relation to your personal data. These include the right to:
- Request access to your personal data.
- Request correction of the personal data that we hold about you.
- Request erasure of your personal data.
- Object to processing of your personal data where we are relying on a legitimate interest.
- Request restriction of processing of your personal data.
- Request the transfer of your personal data to you or to a third party.
- Withdraw consent at any time where we are relying on consent to process your personal data.
If you wish to exercise any of these rights, please contact us using the details below. You also have the right to make a complaint at any time to the Information Commissioner's Office (ICO), the UK's supervisory authority for data protection issues (www.ico.org.uk).
10. Children's Privacy
Our service is not intended for use by individuals under the age of 18, and we do not knowingly collect data relating to children.
